Our Booking Procedures
When you decide to book with Hawaii Beach Homes, you can easily do so online or by calling our office. The following outlines our booking procedures.
1. Your Electronic Agreement
You will receive an electronic contract via email. We will place a 24-hour hold on the property for your dates to provide you time to review and return the documents. If the documents are not received within that time, we will release your hold. Please call or email us if you need an extension.
2. Fill out the Form
Simply fill out allthe required fields to send the contract back to HBH. You will receive a confirmation when the contract is successfully sent and received.
3. We Process Your Reservation & Send You a Confirmation
When we receive the documents, we will process your reservation and email you a confirmation. We will charge 30% of the total cost of receiving the paperwork. The balance will be charged 60 days prior to your arrival. You do not need to call or follow-up for the payment on the balance, as we automatically charge it to the card provided at the 60-day mark (90 days before a Christmas holiday reservation.)
4. Arriving in the Next 60 Days?
If your arrival date is within the next 60 days, we will charge the entire amount upon receiving the documents.
5. Download Our App
Thirty days prior to check in you will receive an invitation to download our App, which provides valuable information about the island as well as very specific move-in instructions. You will receive a personal key code to check yourself in with, along with gate codes and alarm information. Please carefully review all information before arriving to ensure a smooth check-in after a long flight. We highly recommend you bring the PDF version as a backup to ensure that you have a smooth check. If you have any questions about the instructions please call us before your flight.
6. Your Keycode Will Expire at the Checkout Time
Check-in is at 3 p.m. Your key code will not go into effect until this time. In very rare cases, the cleaning or maintenance staff may need to stay later to properly prepare the home; this will only occur if the prior guests caused an excessive mess or damage. You are welcome to enter after 3 p.m. while the staff finishes. We thank you for your understanding.

7. Early Check-In or Late Check-Out
If you have a very late or early arriving flight, we recommend you book the additional day before you arrive or at the end of your stay to ensure that you remain comfortable and do not have to wait to enter the home or leave many hours before your departing flight. We rarely are able to offer early check-in or late check-out due to high occupancies and because we use the openings to schedule maintenance and/or owner stays. In the unusual circumstance that we are able to offer extensions, we can not do so until one day prior and a fee may apply depending on the requested additional length of stay.
8. The Cancellation Policy
As the Coronavirus situation evolves we are updating our cancellation polices to best serve your needs. All guests who book after April 1, 2020 are being offered more flexible options should you need to change or cancel your plans, and we promise to make the process as easy as possible. Please contact us directly with your intended travel dates, and we will we will provide you with the details. Guest shall inform Agent, by phone and in writing, of Guest’s intent to cancel Agreement (the “Cancellation”). Unless otherwise specified in writing, the following is the Cancellation Policy:
- Cancellation Notice is received One hundred twenty days or more (120+) prior to the commencement of the Rental term. All Deposits received shall be refunded, less a $500 cancellation fee.
- Cancellation Notice is received less than One hundred twenty days (0-119 days) prior to the commencement of the Rental Term. Guest shall forfeit all sums already paid, including taxes.
- Travel Insurance is strongly recommended. CSA is a highly recommended travel insurance company.
If you cancel 120+ days out we refund everything except $500, if you cancel less than 120 days out we keep all monies collected. We strongly urge all guests to purchase travel insurance.
